The Form Designer allows administrators to create and maintain the custom forms used throughout MS Flex Insurance Brokerage Management Software. These forms are displayed when users select View from the Policies or Claims grids, and can also be linked to workflow Process Events configured within Tracks and Items.
Administrators can add new fields, modify existing fields, change field labels, alter field types, and control the order in which fields appear on the form. Supported field types include text, dates, numeric values, drop-down lists, and notes fields.
The main grid displays the configuration of each field, including:
Selecting Preview Form displays a live representation of the form as it will appear to users. Any changes made within the Form Designer are reflected in the preview, allowing administrators to confirm the layout and field placement before making the form available.
Form Designer provides a flexible way to tailor data collection screens to meet business and workflow requirements without requiring application changes.

The Report Designer provides a powerful self-service reporting environment within MS Flex, enabling users to analyse, summarise, and visualise data without requiring external reporting tools.
Reports can be created from information held within the system and presented as grids, pivot tables, charts, or exported to common formats for further analysis.
Users can choose which menu their report should appear on.
The pivot functionality allows users to dynamically reorganise data by dragging fields between rows, columns, filters, and values. This enables information to be viewed from different perspectives without modifying the underlying data.
Users can:
Report data can be displayed as charts to provide a graphical representation of trends and performance.
Available chart options include:
Charts can be customised by changing chart type, displayed values, legends, sizing, rotation, and other visual properties.
Reports can be exported for distribution or further analysis using the Export function. This allows users to share report results outside MS Flex or perform additional processing using external applications.
The Refresh Data option updates the report with the latest information from the MS Flex database, ensuring analysis is based on current data.
The Report Designer can be used to query any part of MS Flex
In the example shown, policy renewal data is summarised by Product Type and Expiry Month using a pivot table. The same data is displayed as a stacked column chart, allowing users to quickly identify renewal volumes and trends across different product classes and reporting periods.
The Report Designer provides a flexible and interactive reporting capability that enables users to transform operational data into meaningful business information.

The Tracks and Items administration area is used to configure workflow processes within MS Flex. A Track represents a process or business activity, while the Items within a Track represent the individual tasks or events that must be completed as part of that process.
Examples of Tracks might include policy administration activities, claims processes, compliance procedures, or customer service workflows.
Tracks can be created, edited, activated, or deactivated as business requirements change. Each Track contains:
Selecting the Expand option displays all Items associated with the selected Track.
Each Item represents a workflow step that users must complete. For each Item, administrators can configure:
Each Item can be linked to a specific form using the Form to Show setting.
Forms are configured using the Form Designer and determine the information that users must capture when completing the Item. Selecting Preview Form allows administrators to review the form that will be presented to users.
This provides complete flexibility in designing workflow-specific data capture screens without requiring system changes.
The Days In field controls when an Item becomes due.
The value entered represents the number of days after the Track is assigned to a client, policy, claim, or record before the Item is scheduled for completion.
For example:
This allows administrators to build structured workflows with automatic task scheduling and escalation timelines.
Items can be assigned to specific users or offices to ensure responsibility for each stage of the process.
Assignments may be configured to:
This functionality helps ensure work is directed to the appropriate individual or department and supports effective workload management across the organisation.
In the example shown, the Habitation Certificate Track contains a series of workflow Items such as receiving documents, submitting applications, obtaining certificates, and marking the process as complete. Each Item has a defined sequence, due date offset, and associated form, allowing the entire process to be tracked and managed consistently from start to finish.
